Hello my friend! ๐Ÿ” Boss want secretary read his email? Team want send email as support@? Some email need manager approve before deliver? Today we learn mailbox permission and moderation in Exchange Online. This lesson have 4 video in Khmer.

What You Will Learn

  • โœ… Configure moderated recipient (email need approve first)
  • โœ… Give Full Access permission
  • โœ… Give Send As permission
  • โœ… Give Send on Behalf permission

3 Mailbox Permission โ€” What Is Different?

Example: Dara is secretary. She get permission on mailbox of boss, Sok.

PermissionDara can doReceiver see email from
Full AccessOpen and read Sok mailbox, manage mail, calendar, contactโ€” (cannot send)
Send AsSend email as SokSok
Send on BehalfSend email for SokDara on behalf of Sok

Remember: Full Access = read. Send As / Send on Behalf = send. Often we give Full Access + one send permission together.

21 - Configure Moderated Recipient (7:08)

Moderation mean email send to this mailbox or group must be approve by moderator first. Example: email to all-staff@ must approve by HR manager before everyone get it. If moderator reject, email not deliver.

22 - Assign Full Access Permission (6:31)

Full Access let user open other mailbox and read everything inside. After give permission, mailbox will show in user Outlook auto (this call automapping). Good for secretary, assistant, or team that share mailbox.

23 - Grant Send As Permission (4:45)

Send As let user send email that look exactly like come from other mailbox. Receiver not know who really send. Very common for shared mailbox โ€” customer see email from support@company.com, not personal name.

24 - Assign Send on Behalf Permission (4:29)

Send on Behalf also let user send for other mailbox, but receiver can see who really send: "Dara on behalf of Sok". More clear and honest โ€” good for secretary send email for boss.

Tips

  • Give permission only what user really need. Only need read? Give Full Access only, no send permission.
  • Don't give both Send As and Send on Behalf to same user. Send As will win, so Send on Behalf become useless.
  • After give permission, wait some minute (sometime up to 1 hour) before it work. Restart Outlook if not show.
  • In Outlook, user must add From field for choose send as other mailbox. Show them how!
  • For moderation, always set 2 moderator. If one on holiday, email not stuck waiting.
  • Use moderation for big group like all-staff@ โ€” stop wrong or spam email go to whole company.
  • Check and remove permission when staff change job or leave company. Old permission = security risk.

Conclusion

Now you know moderation and 3 mailbox permission: Full Access for read, Send As for send as other mailbox, and Send on Behalf for send with your name show. These setting use every day in real company, special for secretary and shared mailbox. Keep learning my friend! ๐Ÿ’ก
