Hello my friend! 👥 In company, many time we need send one email to many people — like all staff in Sales team. Type every email one by one? No way! Today we learn group in Microsoft 365. This lesson have 6 video in Khmer.

4 Type of Group — What Is Different?

Group type	What it is	Good for
Microsoft 365 Group	Group with shared mailbox, calendar, file (SharePoint), and can connect Teams	Team that work together on project
Distribution Group	One email address that send to all member	Send announcement to many people
Dynamic Distribution Group	Distribution group that add member auto by rule, like department or office	Group that change often, like "all staff in Phnom Penh"
Mail-Enabled Security Group	Group for give permission and receive email	Give access to file or mailbox, and email the same people

Example: you create distribution group sales@company.com with 10 member. Send 1 email to sales@company.com → all 10 people get it. 🎉

Microsoft 365 Group is more than email. Member get shared inbox, shared calendar, shared file, and can use with Teams and Planner. Good for team work together.

Distribution group is simple: one email address for many people. Use it for send news, announcement, or report to whole team.

12 - Convert Distribution Group to Microsoft 365 Group (7:36)

Your team start with distribution group, but now need shared file and calendar too? No need create new group — just convert (upgrade) it to Microsoft 365 Group. Member and email address still same.

Dynamic group add and remove member auto by rule. Example: rule "Department = Sales". New staff join Sales → they get email from group auto. Staff move to other department → they leave group auto. No need update by hand!

14 - Restore Deleted Microsoft 365 Group (4:15)

Oops, delete group by mistake? Don't worry. Microsoft 365 keep deleted group for 30 day. Inside that time, you can restore it back with mail, file, and member.

15 - Create Mail-Enabled Security Group (4:34)

This group do 2 job: give permission (like access to shared mailbox or SharePoint) and receive email. Good when same people need both access and email.

Tips

Not sure which group to choose? Only need send email → Distribution Group. Need work together with file and calendar → Microsoft 365 Group.
Group not need license! Create as many group as you need, free.
Use clear group name like sales@, hr-team@, all-staff@. Everyone know what group for.
Always add at least 2 owner for each group. If one owner leave company, group still have owner.
For dynamic group to work good, fill user info correct (Department, Office, City). Wrong info = wrong member.
Restrict who can send to big group like all-staff@. You don't want outside people spam whole company!
Deleted Microsoft 365 Group only can restore in 30 day. After that, gone forever — so check carefully before delete.
