1. What is a Printer? (Hard Copy vs Soft Copy)
A Printer is an output hardware device that converts digital electronic files (Soft Copy) into physical printed paper documents (Hard Copy).
Key Printer Terms:
- PPM (Pages Per Minute) : Speed measurement of how many pages printer outputs per minute.
- DPI (Dots Per Inch) : Print resolution quality! Higher DPI (e.g. 1200 DPI) means sharper photo quality.
- Duplex Printing : Automatically printing on both front and back sides of paper.
💡 Pro Tip: When buying a printer for heavy office document printing, look for high PPM speed and low Cost Per Page toner price!

2. Main Types of Printers
Different printing technologies are used for different jobs:
- Inkjet Printer : Sprays tiny droplets of liquid ink from cartridges onto paper. Best for home use and high-quality photo printing.
- Laser Printer : Uses dry toner powder, a laser beam drum, and a hot Fuser Roller to melt toner onto paper. Super fast speed for office text documents!
- Thermal Printer : Uses heat-sensitive paper without ink or toner! Used for supermarket checkout receipts and shipping labels.
- Impact (Dot-Matrix) Printer : Uses tiny pins striking an ink ribbon against paper. Used for printing multi-part carbon copy invoice receipts.
- Virtual Printer : Software printer that saves files as PDF (
Microsoft Print to PDF).
⚠️ Laser Printer Warning: Never touch the Fuser Roller inside a laser printer right after printing! The fuser roller gets extremely hot (over 200°C) to melt toner powder!

3. Installing & Configuring Printers
- Connect Cable : Plug printer to PC using USB cable, or connect to office router using Ethernet LAN cable / Wi-Fi.
- Install Drivers : Download official manufacturer printer driver (PCL or PostScript driver) from Epson, Canon, or HP website.
- Print Test Page : Always print a Test Page from Windows Settings to verify driver installation and print head alignment!
💡 Pro Tip: Always download the latest official printer driver from the manufacturer's website instead of relying on old CD discs!

4. Printer Sharing, Maintenance & Troubleshooting
- Network Printer Sharing : Share 1 central printer across all office computers via Windows Network Sharing or IP Print Server.
- Paper Jam Fix : Always pull jammed paper gently in the direction of the paper path. Never pull paper backwards or use metal scissors!
- Fixing Stuck Print Queue : If documents won't print, press
Win + R, typeservices.msc, find Print Spooler, and click Restart!
💡 Pro Tip: If your print queue is stuck and won't delete, restarting the Print Spooler service in
services.mscfixes the problem instantly 90% of the time!
