Disclaimer is short text that Exchange add auto at bottom of email. Company use it for legal message, confidential note, or contact info. Admin make it with mail flow rule (transport rule), so user no need type by themself.

Example disclaimer:

Tips

  • For shared calendar, give edit permission only to people who really need add event. Other people just view is enough.
  • Make disclaimer short and clear. Long disclaimer make email look messy, and nobody read it.
  • Set disclaimer rule for email going outside company only. Inside staff don't need see it every time.
  • Choose fallback action "Wrap" in disclaimer rule, so if Exchange cannot add text (like encrypted email), email still send.
  • Always send test email to yourself and to Gmail after create disclaimer, check how it look.
  • When block user, also sign out all session and reset password. Block sign-in alone may take some time to kick user out from app already open.
  • Block first, delete later. Don't delete user right away โ€” you may need their email or file.
